Answer in short
Count the calls you actually miss for two weeks, sort them by what the caller wanted, then choose the cheapest fix for each kind: a better voicemail greeting for the few, forwarding for the urgent, an answering service or an AI receptionist for the many. Do not buy anything before you know your own numbers.

Hear it answer a callMost small businesses know they miss calls. Few know how many, when, or what those callers wanted. That is why fixes tend to be guesses: forwarding the line to a mobile phone that rings through dinner, or paying for a service the business does not need. This guide goes in the other order. Measure first, then match the fix to the problem.
Your phone provider or phone system will show a call log. For two normal weeks, record each missed call: the day and time, whether the caller left a message, and whether you reached them afterward. You do not need software. A spreadsheet is enough.
Two weeks is long enough to see a pattern and short enough to finish. Resist the urge to add categories. Time, message left, reached or not: those three are what you need.
Do not use an industry average. Use three numbers from your own business: how many missed callers were new rather than existing customers, what a new customer is typically worth to you, and what share would realistically have booked. Multiply them. The result is an estimate, and a cautious one is more useful than an optimistic one.
Fictional demonstration
A fictional landscaper logs eight missed calls in two weeks. Five were from new callers, and three of those left no message. The landscaper guesses that a third of the five would have booked a first visit worth $300. That is a small, honest number, and it shows the problem is concentrated in a few evenings, not spread across the week.
Each kind calls for a different fix. Urgent calls rarely belong with software or a script. The other three often do.

A missed call that leaves a message is a different problem from one that leaves nothing.
Even before you buy anything, the message callers hear decides whether they leave a useful one. A good greeting names the business, gives your hours, says when you will call back and offers one alternative. Keep it under fifteen seconds. Long greetings lose callers before the tone.
Fictional example
“You’ve reached a fictional landscaping studio. We’re closed until eight tomorrow. Leave your name, number and the address of the job, and we’ll call you back before ten. If this is an emergency, call 911.” It says who, when, what to leave and what to do in danger.
Whatever answers the phone, it needs rules. Write them down:
If you use an AI receptionist, read what an AI receptionist should never say before you write them.
Urgent calls are the ones people worry about, and they are usually the fewest. Decide in advance what counts. A burst pipe may be urgent for a plumber; a quote request is not. Write down the short list, give it to whoever answers, and agree who is on call. If nobody wants to be on call, say so on the greeting and name another number the caller can try. An honest limit is better than a promise you will resent.
A message is only useful if someone acts on it. Decide who calls back and by when, and keep a simple record of which messages became jobs. After two weeks, count again. If missed calls with no message have dropped and the callbacks are turning into work, the fix is doing its job. If not, change the rules before you change the tool.
When you may not need to fix this
If you miss very few calls, or your customers mostly book by email or in person, the simplest greeting may be enough. If the people who call after hours are mostly in urgent need, you want a person on the other end, not software.
If the count shows a steady stream of routine calls arriving when nobody is there, see how our AI receptionist works and try the demo.
