Set up for your business
Built around how your business works.
From customer outreach and detailed replies to appointment booking and follow-ups, we configure Heron around your services, workflows and goals. Choose what it handles automatically, what gets forwarded, and how each conversation moves forward.
What Heron handles itself
Answering calls from your approved knowledge: hours, services, directions and policies. Taking messages and booking requests. In a campaign, sending the approved message and answering the replies you’ve set it up to answer.
What gets forwarded
Booking requests reach your team as a written note. Anything urgent follows your handoff rules. Any enquiry type you name, say a quote request or a complaint, goes straight to you or your staff instead of being answered by Heron.
How a conversation moves forward
A request your team confirms, a callback where consent is in place, or a polite close. Heron doesn’t guess: if something falls outside the rules, it takes a message. We set the rules with you and change them when you ask.
What Heron is
Heron is the AI. Risk Free is the studio behind it.
Heron
The AI, and its speciality is business. It does the routine front-desk work the way an office manager would hand it out: answering the phone, handling the enquiries you configure it for, passing on messages and booking requests, following up with people who agreed to hear from you, and routing everything else by the rules you set. It does the jobs on this page with their statuses, and nothing it hasn’t been set up for.
Risk Free
An Ontario studio. Its people set Heron up around your business, test it with you, check how it’s doing, and change it when you ask.
The rest of the studio
Websites, SEO and marketing are done by people at Risk Free, not by Heron. They connect to Heron only where the connection is real: your website’s phone number can ring the line Heron answers.
What Heron can do
Pick the jobs. Each shows where it stands.
You can switch on one job or several, and each is set up on its own. Every job carries a status, and nothing moves up until it’s real.

Direction
- A connected front office Future direction
Calls, booking requests and recalls landing on one desk.
A direction, not something you can buy yet. When a piece is ready, it moves up this list with its status, and not before.
A text campaign has run for our first clinic client. It’s paused now.
Putting jobs together
How clients combine them.
Most start with Reception and add a job when it earns its place. These three set-ups are invented to show the range.

Example · fictional
A physiotherapy clinic
A front-desk agent by day and an after-hours agent in the evening. Callers get the clinic’s approved hours and answers. Booking requests wait for the desk in the morning, with a summary. Recall texts go only to patients who agreed to hear from the clinic.
What it costs. Reception at its published price. The second agent is quoted; Campaigns are $197 an active month alongside Reception.

Example · fictional
A heating and plumbing company
The team is on a job when the phone rings. After hours, Heron takes the address, the problem and a number, and tells whoever is on call if it’s urgent. The office reads the notes in the morning.
What it costs. Reception at its published price. Nothing else is needed to start.

Example · fictional
A photography studio
Heron answers the questions callers ask most: what a session includes, where to park, when the studio is open. It takes a booking request for the owner to confirm. In a quiet season, it texts past clients who agreed to hear from the studio.
What it costs. Reception at its published price. Campaigns are $197 an active month alongside Reception.

Integrations and handoffs
What Heron connects to, and where a person takes over.
What it connects to
- Your phone line Available
Forward your existing number to Heron. No new phones or software.
- Calendar and booking systems In development
We check one system at a time before promising anything. Some systems offer no open connection at all; for those, Heron keeps taking requests that your team confirms.
- Text messages Pilot
Used for Campaigns only: to people who agreed to hear from you, in a set window, with a clear stop.
- Your records, inbox and practice software Not connected
Heron can’t see them unless they’re connected. Today, most aren’t.
Where a person takes over Set up for you
- Callers know it’s an AI
Heron is set up to say so at the start of a call, and never claims to be a person.
- Messages and booking requests
They reach your team as a written note. Your team confirms the booking.
- Urgent or unusual calls
They follow the rules you set with us: who’s told, and how.
- Anything it can’t answer
Heron takes a message. It doesn’t guess, and it doesn’t give medical, legal or financial advice.
People at Risk Free set up the handoffs with you, check how Heron is doing, and make the changes you ask for. Heron can’t change its own settings or wording. There’s no self-serve dashboard today.
How Heron is kept separate
One name. Separate access.
Heron is one name for several jobs. It isn’t one system that can see everything. Each job is switched on by itself, and each uses only what you connect.
- Your Heron is yours. Your settings, approved answers and contact lists are used for your business only.
- Each job is switched on separately. We write down what it connects to, and you get a copy.
- Heron can only use what you connect. If a system isn’t connected, Heron can’t see it. Today, most aren’t.
- Messages use wording you approved, and go only to people who agreed to hear from you.
- People at Risk Free set it up and check it. You can switch any job off.
How we start
Start with one job. Add others when you need them.
- 01
A short call
What you need Heron to do, what you already use, and where calls or follow-up slip today.
- 02
Start with one job
Most people begin with Reception & assistance. It has a published price.
- 03
We set it up, you test it
Approved answers, hours, handoffs and who gets notes. Call it yourself; we adjust until it sounds right.
- 04
Go live, add jobs later
Forward your line when you’re ready. We check how it’s doing. Add another job when it makes sense; each is set up on its own.
Questions.
Is Heron one AI that can see all my systems?
No. Heron is one name for separate jobs. Each job is switched on by itself and uses only what you connect. Your settings, approved answers and contact lists are used for your business only.
What does it cost, and can I start with one job?
Yes. Reception & assistance has a published price: $597 set-up, first month included, then $397 a month (CAD, plus HST, no minimum term). It’s the simplest place to begin. Campaigns and extra agents are quoted after a short call when you add them.
Can Heron book appointments into my calendar?
Today it takes booking requests, and your team confirms them. Direct booking is in development and depends on your booking system. We check yours before promising anything.
Who checks Heron’s work?
People at Risk Free. We set it up, test it with you, check how it’s doing and make the changes you ask for. Heron can’t change its own settings or wording.
Is Heron only for clinics?
No. Clinics are a strong fit, because calls, booking requests and recalls land on one desk. But answering every call and following up with permission matter to any business that relies on calls and repeat customers.
