AI receptionist vs answering service vs hiring

Reviewed

Answer in short

Hire a person when callers need judgement, relationships or in-person duties. Use a live answering service when you want a human voice outside your hours and are happy to pay per minute. Choose an AI receptionist when the calls are routine, arrive at any hour or all at once, and you want a flat monthly cost. Many businesses end up combining two of the three.

There are three common ways to get a business phone answered: an employee at a desk, a live answering service, or an AI receptionist. They overlap, but they are good at different things. This guide compares them on the points that decide the choice and says plainly when each one is the wrong fit.

What each option is

  • A receptionist you hire. A person on your payroll who answers the phone, greets visitors and does other desk work.
  • A live answering service. Agents, often shared between many clients, who answer in your name, follow a script, take messages or forward urgent calls. Usually priced by the minute or the call.
  • An AI receptionist. Software that answers by voice, answers common questions and takes messages; many can also book appointments when connected to a booking system. Ours tells callers it is an AI.

Vendors use these names loosely. Virtual receptionist, answering service or AI sorts out what each term means in Canada and how each is billed.

What each one costs

Indeed reported an Ontario average receptionist wage of $20.23 an hour in July 2026, from 2,200 reported salaries. For 40 hours a week over 52 weeks, that is about $42,078 a year in wages, before benefits, payroll costs and training.

Some US-based answering services list per-minute plans from about $97 to more than $400 a month. These are vendor-reported ranges read in October 2026 and not verified by us. Ours is $597 to set up, first month included, then $397 a month, in CAD. For how to read those numbers, see how much an AI receptionist costs in Canada.

Cost is the easy comparison. Fit is the one that matters.

Hear it answer a call

When a person is the better choice

  • Callers are often upset, grieving, frightened or in a hurry for help.
  • The phone is a sales conversation that needs back-and-forth and judgement.
  • Someone has to greet visitors, sign for deliveries or handle the front door.
  • Regulars expect a familiar voice, and that relationship is part of your service.
  • Exceptions come up all day and someone has to decide on the spot.

When an answering service is the better choice

A live service suits you if every caller should hear a human voice but you only need cover outside your hours. It also suits businesses whose calls are mostly urgent messages that must reach a person quickly. Remember the agents serve many businesses, so what they know about yours is limited to the script, and costs climb in a busy month.

When an AI receptionist is the better choice

It suits calls that are routine and repeated: opening hours, location, what you offer, booking a time, leaving a message. It suits businesses whose calls arrive after hours or in bunches, where a single person would leave callers on hold. And it suits owners who want a predictable monthly cost.

It does not suit calls that depend on judgement, and some callers will prefer a person. It can only say what has been agreed in advance. If that boundary is a problem for your business, one of the other two is the better answer. Read what an AI receptionist should never say before you decide.

How to test any of the three

Whichever you lean towards, test it before you commit. Ring it at an awkward hour. Ask the five questions your customers ask most. Ask something it should not answer and see what it does. Leave a message and check how long it takes to reach you, and in what form. A receptionist is only as good as the way it hands the call on, and that is easy to check in an afternoon.

If you are comparing prices, compare them for the same month and the same call volume. A per-minute plan that looks cheap at ten calls can look different at a hundred.

Combining two of them

The most common sensible setup is a person in your hours for the calls that need one, with an AI receptionist answering outside them and whenever the line is busy. Messages taken overnight are waiting when the person arrives. Our guide to missed calls after hours shows how to work out whether that gap is worth closing.

Questions to ask before you choose

  1. How many calls do we get, and when do they arrive?
  2. What share of those calls are routine questions, bookings or messages?
  3. What happens when a caller needs something outside the rules?
  4. Who sees the messages, and how soon?
  5. What is the total monthly cost in a busy month, in writing?
  6. Can we test it before we commit?
